Privacy Policy

This Privacy Policy describes how we collect, use, and protect your personal information when you use this website. The data controller is SBTpedigree. Please read this policy carefully. For general questions about the site, see our FAQ.

Types of data: We process mainly non-personal data (dog and pedigree records) and limited personal data (names and contact details linked to dogs and accounts).

Personal data we may collect:

  • Account information (name, email address, password when you register or log in)
  • Profile and contact details you choose to add (address, phone, website)
  • Names associated with pedigree entries (e.g. breeder, owner – as published in kennel club records)
  • Communications when you contact us (support requests, feedback)

Non-personal data (not subject to GDPR): dog records, pedigrees, show results, health documentation, and other breed-related information.

We may also automatically collect technical information when you visit (e.g. IP address, browser type, device information) for security and essential functioning.

Legal basis (GDPR Art. 6):

  • Contract – to provide membership and services you have signed up for
  • Legitimate interest – to maintain the pedigree archive as a historical record (dogs and associated names)
  • Consent – where you voluntarily add contact details or publish content
  • Legal obligation – e.g. retaining transaction records

Purposes: We use the information to provide and improve our services, process registrations and payments, display content (pedigrees, breeder profiles, advertisements), send service messages, respond to enquiries, ensure security, and comply with the law.

We may use cookies and similar technologies (e.g. session storage) to:

  • Keep you logged in and manage your session
  • Remember your preferences and settings
  • Understand how you use our site (e.g. analytics)

You can control cookies through your browser settings. Disabling certain cookies may affect the functionality of the website.

We do not sell your personal information. We may share your information only in the following circumstances:

  • With your consent – when you have agreed to such sharing
  • Service providers – with trusted third parties who assist us in operating the website (e.g. hosting, payment processing), subject to confidentiality obligations
  • Legal requirements – when required by law, court order, or to protect our rights, safety, or property
  • Public content – information you choose to publish on the site (e.g. breeder profiles, advertisements) may be visible to other users and the public as intended by the service

All data entered into SBTpedigree is retained indefinitely. The pedigree database is a historical archive; information forms part of connected records (dogs linked as parents, offspring, or ancestors). We cannot delete information that is part of other information.

Dog and pedigree data: No one can request deletion of dog information—or associated names (breeder, owner)—as long as the dog is part of a pedigree. Once a dog appears in any pedigree, that record must be preserved for archive integrity. This is based on legitimate interest (archiving) and is proportionate given the limited nature of the personal data.

Account data: Your account and profile data may be removed when you close your account, except where they form part of the pedigree archive. Transaction records are retained as required by law.

We take reasonable technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. No method of transmission over the internet or electronic storage is completely secure; we cannot guarantee absolute security.

If you are in the EEA/UK, you have rights under GDPR, including:

  • Access to the personal data we hold about you
  • Rectification of inaccurate data
  • Erasure (subject to Data Retention limits—names and data that form part of the pedigree archive cannot be deleted)
  • Restriction of processing
  • Data portability (where applicable)
  • Object to processing based on legitimate interest
  • Lodge a complaint with your supervisory authority

To exercise these rights or for any privacy-related questions, please contact us using the details below.
